Sunset Cinema Club’s Privacy Policy

This Privacy Policy is intended to explain how we collect, use and protect your personal information when you interact with us. 

Who we are

We are Sunset Cinema Club Ltd, known as Sunset Cinema Club. We are a small crew based in and around Notts, and our official residence is in Sherwood. We even have a registered company number, this is it: 10292905.

For the purpose of the Data Protection legislation, we are the Data Controller of your personal data. This means that we are responsible for deciding how we use your information.

What sort of personal data do we collect?

We collect the information that you give to us, for example when you buy tickets, give us feedback or sign up for our newsletter. That includes different things depending on what we are in contact for but most often includes your name, email address, postal address, age, and what film you wanted to see. It also includes your feedback and comments when you give these.

Why do we collect this and what do we do with it?

Generally, we use the information you give us to provide you with the services you request, to send tickets, provide customer service, provide pre-attendance information about events, deliver content which we think may be of interest to you, for customer research and to send you marketing and promotional emails.

We NEVER collect or store your financial information: we only use nationally recognized booking agents and payment processors who are experts at that and process that data for us.

Legal basis for processing personal information

Sunset Cinema Club will always make sure we have a legal basis to collect and use your personal information. The legal basis we rely on will change depending on the type of information and the context in which we collect it. 

Our main reason for collecting and using your personal information is to perform our contract with you (i.e. to make sure you get your tickets and joining instructions), but we may also process it where it is in our legitimate business interests to do so (for instance when we think we are doing something you would want to know about, or to improve a service, that may include newsletters, blog posts, surveys and information about new events). You can choose to no longer receive marketing communications by clicking unsubscribe from a marketing email.  If you do unsubscribe to marketing communications, it may take up to 5 business days for your new preferences to take effect. 

How we protect your personal data

We password protect all electronic environments where your data is kept.


Who do we share your personal data with?

You will see when you book tickets, complete surveys and use our website that you are doing this using well known third party service providers who perform functions on our behalf (for example, stripe who processing credit card payments, paypal who collect paypal payments, ticket tailor who are our ticket agent, website hosting via ‘Go Daddy’ and ‘1&1’, conducting surveys via Survey Monkey and MailChimp who provide marketing email services).

We may share your personal data with any service providers, sub-contractors and agents that we may appoint to perform functions on our behalf and in accordance with our instructions, including payment providers, event ticketing providers, email communication providers, IT service providers, accountants, auditors and lawyers.

Under certain circumstances we may have to disclose your personal data under applicable laws and/or regulations, for example, as part of anti-money laundering processes or protect a third party's rights, property, or safety.

We may also share your personal data in connection with, or during negotiations of, any merger, sale of assets, consolidation or restructuring, financing, or acquisition of all or a portion of our business by or into another company.

Where we hold and process your personal data

Some or all of your personal data may be stored or transferred outside of the European Union (the EU) for any reason, including for example, if our email server is located in a country outside the EU or if any of our service providers or their servers are based outside of the EU. We shall only transfer your personal data to organisations that have provided adequate safeguards in respect of your personal data.


A cookie is a small text file containing a unique identification number that is transferred (through your browser) from a website to the hard drive of your computer. The cookie identifies your browser but will not let a website know any personal data about you, such as your name and/or address. These files are then used by websites to identify when users revisit that website.

Our event ticket shop uses cookies so that we can recognise you when you return and personalise your settings and preferences. Most browsers are initially set up to accept cookies. You can change your browser settings either to notify you when you have received a cookie, or to refuse to accept cookies. Please note that our event ticket shop may not operate efficiently if you refuse to accept cookies.

We also use Google Analytics to monitor how the event ticket shop is used. Google Analytics collects information anonymously and generates reports detailing information such as the number of visits to the event ticket shop, where visitors generally came from, how long they stayed on the event ticket shop, and which pages they visited. Google Analytics places several persistent cookies on your computer's hard drive. These do not collect any personal data. If you do not agree to this you can disable persistent cookies in your browser. This will prevent Google Analytics from logging your visits.

Retaining your information

We will only keep your data for as long as is necessary to provide our products and services to you and/or to fulfil our legal and regulatory obligations. 

What are your rights over your personal data?

We respect your privacy and always comply with data protection rights. 

The GDPR provides the following rights for individuals:

· Rights in relation to automated decision making and profiling.

If you wish to request deletion of your personal information, you can do so by contacting us using the contact details provided under “How to contact us” below. You can object to processing of your personal information or ask us to restrict processing of your personal information or to port it. Again, you can exercise these rights by contacting us using the contact details provided under “How to contact us” below. You have the right to opt-out of receiving marketing communications we send you at any time. You can exercise this right by using the unsubscribe functionality in the communication you receive.  Similarly, if we collect and process your personal information on the basis of your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent. You have the right to complain to a data protection supervisory authority about our collection and use of your personal information.
